He’s half right, and the half he’s wrong about is eating his evenings. Fast doesn’t mean typing faster Pull up the last twenty messages your business received and read them in a row. I’d bet most of them are the same four or five questions wearing different clothes. That’s not an insult to your customers, it’s just what a front door sounds like. And it means the slow part of replying was never the typing speed. The slow part is composing the same answer again and again as if it were new. A restaurant doesn’t reinvent the sandwich every time someone orders one. The menu exists so the kitchen can make the same good thing quickly, and nobody eating it feels shortchanged. Your replies deserve a menu. Write it once, on a good day Here’s the whole system. Take those twenty messages and sort them into piles. For each pile, write the best answer you’ve ever given, once, on a day when you have the patience to do it properly. What you charge roughly and why it varies. Where you service. How booking works. What happens after someone asks for a quote. If writing is the part that stalls you, this is honestly a fine job for AI: tell it what you want the answer to say and let it hand you a draft to fix. You’re only doing this once per question, so make each answer the good version. Then put those answers where your thumbs already are. Google Business Profile has saved replies. So does Messenger. Email has templates. Even a plain note on your phone works, copy and paste is not cheating. The one rule that keeps it human The first line is always yours, always specific, always fresh. “Hi Dana, a cedar hedge that length is a nice afternoon of work.” Then the saved answer carries the rest. Nobody has ever complained that the second paragraph of a helpful reply felt familiar. What people remember is that you used their name, that you clearly read their message, and that you got back to them the same day instead of Thursday. That’s the trade: the personal part gets ten seconds of real attention, the repeatable part gets zero, and the whole reply goes out in under a minute while your competitor’s is still sitting unread in his pocket. This week Read your last twenty messages and count the repeats. Write the top three answers once, properly, and save them wherever you reply. Keep the first-line rule taped to the register if you have to. The phone will buzz exactly as much next week.
